Privacy Policy

Last updated October 26, 2026

Your data — and your guests' data — matters. This policy explains what we collect, why, who we share it with, and the choices and rights you have.

1. Overview

This Privacy Policy explains how Softvira LLC, which operates Intelio ("Intelio", "we", "us"), handles personal information when you visit our website, book a demo, or use our hotel management platform (the "Service").

We act in two different roles. For our website and our direct relationship with hotel customers, we are the data controller. For guest data that a hotel processes through the Service, the hotel is the controller and we are a processor acting on the hotel's instructions.

2. Information we collect

Information you give us directly:

  • •account and contact details (name, work email, phone, property name, role);
  • •demo and sales enquiries submitted through our forms;
  • •billing details processed by our payment provider (we do not store full card numbers);
  • •support requests and any content you include in them.

Information we collect automatically:

  • •device and connection data such as IP address, browser type, and operating system;
  • •usage data such as pages viewed, features used, and timestamps;
  • •cookies and similar technologies as described below.

Guest information processed on behalf of hotels: when a hotel uses the Service, it may enter or import guest data such as names, contact details, stay dates, identification documents, payment records, and messages. We process this data only to provide the Service to that hotel.

3. How we use information

We use personal information to:

  • •provide, secure, and support the Service;
  • •process payments and manage subscriptions;
  • •respond to enquiries and provide customer service;
  • •send service and administrative messages, and — where permitted — relevant product updates;
  • •monitor performance, prevent fraud and abuse, and debug issues;
  • •comply with legal obligations and enforce our agreements.

Where the law requires a legal basis, we rely on performance of a contract, our legitimate interests in operating and improving the Service, your consent (for example, certain cookies and marketing), and compliance with legal obligations.

4. AI and automated features

Some features use automated processing and third-party AI providers — for example, drafting suggested guest replies or generating rate recommendations.

Where a hotel enables these features, relevant content is sent to the AI provider solely to produce the requested output. We do not permit our AI providers to use hotel or guest content to train their general models.

Automated suggestions are advisory; a person remains responsible for decisions such as pricing and guest communications.

5. How we share information

We share personal information with:

  • •service providers (sub-processors) that host our infrastructure, process payments, send messages, and provide analytics and support tooling, under contracts that require appropriate safeguards;
  • •integration partners you or your hotel choose to connect, such as channel managers and online travel agencies, limited to what the integration requires;
  • •professional advisers, and authorities where required by law or to protect rights, safety, and the integrity of the Service;
  • •a successor entity in connection with a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell personal information.

6. Text messages (SMS)

Hotels using the Service can text guests who agree to it — for example by ticking the "Text me about my stay" box when booking online, or by asking the front desk. Messages cover the guest's stay: booking confirmations, check-in details, replies to requests, and occasional offers from that hotel. Message frequency varies. Message and data rates may apply.

Reply STOP at any time to stop receiving texts, or HELP for help. You can also ask the hotel to stop texting you.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

7. International transfers

We and our sub-processors may process personal information in countries other than your own. Where we transfer data across borders, we use recognized safeguards such as standard contractual clauses or an adequacy decision.

8. Data retention

We keep personal information for as long as needed to provide the Service, meet legal, tax, and accounting requirements, resolve disputes, and enforce our agreements.

For guest data processed on behalf of a hotel, retention is controlled by that hotel. After a customer's account is closed, we make data available for export for 30 days and then delete or anonymize it in the ordinary course, subject to legal retention requirements.

9. Security

We use technical and organizational measures appropriate to the risk, including encryption in transit, access controls, tenant isolation, audit logging, and regular backups.

No system is perfectly secure. If we become aware of a personal-data breach affecting you or your guests, we will notify affected customers and authorities as required by law.

10. Your rights

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent.

If we hold your information as a controller, contact us at privacy@intelio.io to exercise these rights. If your information was entered into the Service by a hotel, please contact that hotel; we will assist them as their processor.

You may also have the right to complain to your local data protection authority.

11. Cookies

Our website uses strictly necessary cookies to function, and — with your consent where required — analytics cookies to understand how the site is used.

You can control cookies through your browser settings and, where offered, our cookie banner. The Service application itself uses only cookies and local storage necessary to keep you signed in and remember your preferences.

12. Children

The Service is intended for use by businesses and is not directed to children. We do not knowingly collect personal information directly from children.

13. Changes to this policy

We may update this Policy from time to time. If we make a material change, we will post the updated Policy here and, where appropriate, notify you by email or in the Service. The date at the top shows when it was last revised.

14. Contact

Intelio is operated by Softvira LLC. For privacy questions or requests, contact privacy@intelio.io or reach us through our contact page.
